Booking Terms

Now the important bit! Please read & understand before you make a booking, we want you to enjoy your stay with us but for legality reasons we must explain in detail what it means when you make a booking with us which is a legally binding contract.

All prices are per person per night and are inclusive of a hearty Cumbrian platter breakfast, a selection from our extensive cold table & VAT, any extras added during your stay such as drinks will be added to your final bill on departure.

BOOKINGS

To reserve a room or suite, you will be requested to provide valid card details (type, number, expiry date, issue number or a valid from date and the last 3 digits of the security code shown on the signature strip, a post code & a house number for security)

Please note we do not accept deposits by cheque, we can accept a cheque in full payment of your stay however this must be at least 7 days prior to arrival.

The above applies to bookings made through our secure on line booking facility and bookings by telephone or through an agent, please bear in mind that all agents charge a commission built into their price, we often pay this to them retrospectively, that is why it is often cheaper to book direct with ourselves and not through a third party.

DEPOSITS

We require a £50 non-refundable deposit per person ( £100 pp at Christmas & New Year & bank holidays ) with all bookings; the balance is then not due until your day of departure. In the case of cancellation or request of change of a fully pre-paid reservation (for example a gift of accommodation) of 7 days or less from the booked date of arrival, the cost of the booking will be non refundable and not transferable to a future booking.

CAR PARKING

Car parking is provided at both hotels as a free service, however the management / owners do not accept responsibility for any loss or damage to cars or their contents.

CANCELLATIONS

Cancellations of 7 days or less from the due date of arrival (28 days at Xmas & New Year), the card provided will be charged with the balance of the cost of the stay &this is accepted by the booker upon the point of the booking contract being made with a deposit paid, therefore your authority to charge the balance due is automatic and part of the booking contract.

Reasons for cancellation vary, however as examples family illness/bad weather/petrol strikes/car broken down etc all count as cancellation of contract, we have the right to make a full charge for all our losses, in your absence, to your card given to take the deposit, however, you can choose to pay on a different card if you wish but you must advise us of this when you call to cancel.

Very important, if your booking is through a third party such as Laterooms.com or Booking.com your booking is through them, therefore you must contact them to cancel and they in turn will contact ourselves, if this is not done we still incur their commission fees & these in turn will then have to be added to any balance due &charged back to yourself.

Cancellations outside 7 days, the deposit is non refundable, however we will allow the use of the deposit against a future stay if it is agreed prior by the management.

If all or part of a stay is cancelled after arrival due to yourself having to leave early, the full cost of the stay as booked will remain payable on departure, either with the card holder present or not.

Finally, please note that all cancellation requests from customers should be e-mailed or put into writing, we do not accept just a phone call to cancel a reservation, once we have a request in writing we will then reply &confirm, if you have booked through our easy booking secure site, this will also trigger an automated e-mail confirming the cancellation, until a booking cancellation has been confirmed by ourselves by e-mail or in writing that it is cancelled the booking remains live and the balance due.

OUR COMMITMENT TO YOU

Should we have to charge for stays cancelled within 7 days for valid & unforeseen reasons we will do our utmost to re let the room/s, should we be successful in part or whole then any funds taken excluding agents commissions, discounts given to sell a room and any other costs will be available as a credit to you for use against a future stay, obviously if you are to cancel within 48 hours of arrival we stand a lesser chance of filling the room again than if you cancel 96 hours prior but we will try our very best as we are not unreasonable, we will then contact you after your stay was booked and advise what credit is due for you to utilize with us in the future.

PRE-PAID BOOKINGS

In the case of cancellation or request of change of a fully pre-paid reservation (for example a gift of accommodation) of 7 days or less from the booked date of arrival, if rooms are re-let, the funds will be transferred (less any costs incurred as above) to a future booking but If cancelled rooms are un-let, then the cost of the booking will be non refundable and not transferable to a future booking.

CHANGE OF ROOM

If the specific room reserved is rendered unusable via circumstances beyond our control, we reserve the right to transfer the booking to an alternative room of equal status or on a free upgrade basis.

SOME ADVICE

As we are unable to judge reasons for change, cancellation or non-arrival, guests are reminded that no exceptions to the above conditions will be made and that any booking made with Windermere Suites (verbal or written) forms a legally binding contract.

We strongly advise all guests to take out travel insurance just as you would if you booked a package holiday or a flight, E.G. if you booked a package holiday and cancelled a few days before your flight you would already have paid in full and would not expect a refund, that is why we recommend annual travel insurance which covers for UK travel and well as overseas, annual travel insurance is not expensive these days & it may save you money should you have a problem and not be able to fulfill your booking obligation, some household policy’s and some credit card providers offer basic cover should you book through their card, please take advice.
